Privacy Policy

This policy explains what personal information Manage Texas collects, why we collect it, who we share it with, and the choices you have. It covers managetx.com, our tenant portal, and the internal systems our staff use to manage our properties.

1. Who we are

Manage Texas owns and operates commercial properties in the Dallas–Fort Worth area. In this policy, "we", "us" and "Manage Texas" mean Manage Texas and the entities that own the properties we manage.

Our registered address is 2300 Olympia Dr, #270039, Flower Mound, TX. We are the controller of the personal information described here — we decide what is collected and why.

2. Information we collect

We collect different information depending on how you interact with us.

If you send us a leasing inquiry

When you submit the inquiry form on managetx.com, we collect the details you type into it: your first and last name, email address, phone number, company name, the property you are interested in, and your message. You choose what to put in these fields; all of them except the message help us route your inquiry to the right person.

If you are a tenant or a tenant contact

To administer a lease we hold your name, email address, phone number, and the details of your tenancy — the suite, the lease term, rent and any escalations, security deposit, account balance, and payment history. We also hold records you generate through the tenant portal, such as maintenance requests, amenity bookings and messages, along with lease documents and related correspondence.

Most of our tenants are businesses. Where a tenant is a company, the information we hold about the individuals who act for that company — a named contact, a signatory, a person who reports a repair — is still personal information and this policy applies to it.

If you work for us

For staff who use our internal systems we hold name, work email address, username, job role, and the permission level assigned to the account, together with a record of actions taken in the system.

Payment information

Where rent or other charges are paid online, payment card details are collected and processed by our payment processor. We do not receive or store full card numbers. We keep a record that a payment was made, the amount, and the date.

Technical information

Our website and portal are served over the internet, so our hosting providers automatically log ordinary technical data such as IP address, browser type and the pages requested. We use this to keep the service running and secure. We do not use advertising cookies, and we do not sell personal information or share it for cross-context behavioural advertising.

3. How we use information

  • To respond to leasing inquiries and to discuss available space with you.
  • To administer leases — billing rent, applying payments, tracking balances, handling renewals and move-outs.
  • To operate the buildings — scheduling maintenance and work orders, managing amenity bookings, and contacting tenants about access, safety and building matters.
  • To keep accurate books — reconciling what we have been paid against our bank records.
  • To communicate with you by email and text message about your tenancy, a request you have raised, or a property matter that affects you.
  • To run and secure our systems — administering accounts and permissions, and investigating problems or suspected misuse.
  • To meet our legal and tax obligations and to establish or defend legal claims.

We do not use your information to make automated decisions that produce legal or similarly significant effects about you.

4. Bank account connections

We use Plaid Inc. to connect our own corporate bank accounts to our accounting system so that transactions can be reconciled automatically instead of by hand.

To be clear about whose accounts these are: the accounts connected through Plaid are the operating and trust accounts belonging to Manage Texas. This connection is made by our own staff inside an internal, staff-only application. We do not ask tenants, prospective tenants or members of the public to connect their personal bank accounts, and Plaid is not presented to them.

Where we do connect an account, Plaid receives the credentials entered into its secure interface and returns account and transaction information to us. We store the account name, the last four digits, balances, and transaction records. The access credential that permits this connection is held on our servers and is never exposed to a browser or mobile app.

Plaid handles the information it collects in accordance with its own privacy policy, available at plaid.com/legal. A connection can be disconnected at any time from within our application, which instructs Plaid to delete the connection and removes the stored records on our side.

5. Who we share it with

We do not sell personal information. We share it only with service providers who process it on our behalf under contract, and where the law requires it.

We may also disclose information to our professional advisers, to a purchaser if we sell a property or the business, and to law enforcement or a regulator where we are legally required to do so.

Our providers are located in the United States, and information is stored and processed there.

6. How we protect it

We take reasonable measures to protect personal information. In practical terms:

  • Traffic between your browser or phone and our systems is encrypted using TLS 1.2 or better, and data is encrypted at rest by our hosting provider.
  • Access is role-based — staff accounts are provisioned individually by an administrator and see only what their role requires.
  • Privileged changes, such as altering someone's access level, are executed server-side against a verified session rather than trusted from the browser or app.
  • Sensitive documents are held in private storage and released only through short-lived, single-use links.
  • Bank connection credentials are stored where only our server-side code can read them, and are never returned to a browser or mobile app.
  • Multi-factor authentication is enabled on the administrator accounts that control our database and hosting.

No system is perfectly secure, and we do not claim otherwise. We continue to develop our security practices as this business grows, and if a breach affects your personal information we will notify you and the relevant authorities as required by Texas law.

7. How long we keep it

We keep personal information for as long as we need it for the purpose it was collected, and then for as long as we are required to keep it for tax, accounting and legal reasons.

  • Leasing inquiries that do not lead to a lease — kept while we are in contact with you about available space, and for a reasonable period afterwards in case you come back to us.
  • Tenancy records — kept for the life of the tenancy and afterwards for the period required by law and by our accounting and tax obligations.
  • Financial and transaction records — kept as required by applicable tax and accounting rules.
  • Bank connection data — deleted when the connection is removed.

If you would like to know how long we expect to keep a particular record, ask us and we will tell you.

8. Your choices and rights

You can ask us to:

  • Tell you what we hold about you and why.
  • Correct information that is wrong or out of date.
  • Delete information, where we are not required to keep it.
  • Stop sending you marketing — although we will still need to send you messages about your tenancy.

If you are a Texas resident, the Texas Data Privacy and Security Act may give you rights to access, correct, delete and obtain a copy of your personal data, and to appeal if we decline a request. We do not sell personal data or use it for targeted advertising, so there is nothing for you to opt out of on those grounds.

To make a request, email us using the details in section 11. We will ask you to verify your identity so that we do not disclose your information to someone else, and we will respond within the time the law allows. There is no charge for a reasonable request.

9. Children's privacy

Our website, portal and services are intended for businesses and adults. We do not knowingly collect personal information from children under 13. If you believe a child has given us personal information, contact us and we will delete it.

10. Changes to this policy

We may update this policy as our business and systems change. When we do, we will change the "last updated" date at the top of this page. If a change materially affects how we handle your information, we will tell you directly — by email or through the tenant portal — rather than relying on you to notice.
